Most companies don't choose between ChatGPT Plus and ChatGPT Business. They find out they already have Plus, a dozen subscriptions on a dozen expense reports. On an annual plan the two cost the same $20 a seat a month, so price isn't the question. The question is who owns the account. On Plus, the employee does: they choose whether their chats help train OpenAI's models, they sign in with their own account, and when they leave, the chats and custom GPTs stay in that account.
What is the difference between ChatGPT Plus and Business?
ChatGPT Plus is a personal plan that one person owns and controls, while ChatGPT Business is a shared workspace the company owns, with SAML single sign-on, admin controls and no training on business data by default. As of October 2026, Plus is $20 a month and Business is $20 a user a month on an annual plan for two or more users.
This guide is for the COO, IT lead or operations lead at a company of 20 to 1,000 people whose staff already use ChatGPT, often on personal Plus accounts. Prices and terms are as of October 2026, from OpenAI's own documentation. We don't sell ChatGPT and have no partnership with OpenAI.
A naming note: older guides and forum threads often call this plan ChatGPT Team. OpenAI's current documentation calls it ChatGPT Business, and that's the name you'll see when you buy it.
How much does ChatGPT Business cost compared with Plus?
On an annual plan, a ChatGPT Business seat costs the same as Plus: $20 a user a month, as of October 2026. Billed monthly, Business is $25 a user.
| Plan | Price | Who owns the account | Minimum |
|---|---|---|---|
| ChatGPT Plus | $20 a month | The individual | One person |
| ChatGPT Business, annual | $20 a user a month | The company | 2 users |
| ChatGPT Business, monthly | $25 a user a month | The company | 2 users |
| ChatGPT Enterprise | Through OpenAI's sales team | The company | Ask OpenAI |
For a team of 25, that's $6,000 a year on Plus, $6,000 a year on Business billed annually, and $7,500 a year on Business billed monthly. The money is the same. What changes is where it sits: 25 card charges that finance can't see as one line, or one bill for one workspace the company owns.
Two smaller points belong in the budget. OpenAI's other personal plans sit either side of Plus: Go at $8 a month and Pro from $100 a month. And Business can extend usage with ChatGPT credits for heavier use, so a pilot is the right way to see whether anyone needs more than the seat includes.
Does ChatGPT Plus train on your data?
It can: on a personal plan like Plus, chats may be used to improve OpenAI's models if the user's own data controls allow it, while on Business, OpenAI says business data isn't used for training by default.
OpenAI's documentation puts it this way for personal accounts: chat content "may be used to improve OpenAI models if allowed by your ChatGPT data controls", which users review "under Settings > Data controls". According to reporting by TechRadar, that setting, "Improve the model for everyone", is on by default for Free and Plus accounts, and off by default on business plans. We couldn't load OpenAI's own help article on the current default when we checked, so treat the default as something to verify in each account, not something to assume.
For Business, OpenAI is direct. Its pricing page lists "No training on your business data by default", and its security documentation says business data in supported Business, Enterprise and Edu workspaces "is encrypted in transit and at rest and is not used to train or improve OpenAI models by default".
The difference that matters for a company isn't the default. It's who holds the switch. On Plus, each employee holds their own, and you can't see it, set it or check it. On Business, the workspace sets the rule for everyone in it. A policy that says "turn off training" is only as good as the 25 people who remember to do it; a workspace default doesn't depend on anyone remembering.
What admin controls does ChatGPT Business add?
ChatGPT Business adds a company-owned workspace with SAML single sign-on, MFA, admin controls for apps and plugins, and an offboarding process, but not SCIM provisioning or custom role-based access.
Here's what you get, and what you don't, as of October 2026:
- Sign-in through your identity provider. Business includes SAML single sign-on. Staff sign in with the work identity your identity provider manages.
- MFA, enforced by you. Business includes MFA, but OpenAI says ChatGPT "doesn't provide workspace-wide MFA enforcement". If you need everyone on MFA, enforce it through your identity provider and single sign-on.
- No SCIM or custom roles. OpenAI says "SCIM and synchronized identity groups aren't included with ChatGPT Business", and Business "doesn't include custom member RBAC". You add and remove people by hand, and controls apply to the whole workspace.
- Apps and plugins are on. For Business workspaces, OpenAI says "plugins and apps are on by default". For Enterprise and Edu, they're off. Review the list before you invite staff, because each app is a route for company data to reach ChatGPT.
- Offboarding that keeps the work. When a member leaves, "the workspace automatically reassigns their projects and custom GPT ownership to a workspace owner". Their private conversations and files don't transfer. On Plus, none of it is yours to reassign.
- Retention you don't choose. "Business workspaces keep chats, files, and canvas documents indefinitely." If you need chats deleted after a set period, that's an Enterprise control.
That list is the case for Business in one line: the account, the sign-in and the leavers' work belong to the company. It's also the case against stopping there if you have an IT or compliance team with specific requirements.
ChatGPT Business vs Enterprise: when do you need Enterprise?
You need ChatGPT Enterprise when you need SCIM provisioning, role-based access, audit logs, your own retention period or data residency, because ChatGPT Business has none of them.
OpenAI describes Enterprise as "Everything in Business" plus "SCIM, EKM, user analytics, domain verification, and role-based access control", "Audit logs and usage monitoring via the Compliance API", and "Data retention and data residency controls". Enterprise is priced through OpenAI's sales team, so there's no list price to compare.
Three situations usually decide it:
- You manage access through groups. Without SCIM, every joiner and leaver is a manual step in the ChatGPT admin console. That's fine at 30 people and error-prone at 300.
- Someone has to answer "who did what". Audit logs and the Compliance API are Enterprise features. If legal, compliance or security needs records of use, Business won't supply them.
- You can't keep data forever. Business keeps chats indefinitely. A retention rule, a client contract or a regulator that says otherwise points to Enterprise.
One thing neither plan does on its own: cover patient data. OpenAI's HIPAA guidance for Codex names ChatGPT for Healthcare, ChatGPT for Clinicians and Regulated workspaces as the settings where PHI is handled under its business associate agreement. ChatGPT Business isn't among them. Our guide to HIPAA compliant AI covers which plans from each vendor do.
Is ChatGPT Business better than Plus?
For work, yes: ChatGPT Business costs the same per seat on an annual plan and puts the account, the sign-in and the training default under the company. Plus is the better buy only for one person working alone on non-confidential tasks.
| If this describes you | Choose |
|---|---|
| One person, no company or client data | Plus |
| Two or more people use ChatGPT for work | Business |
| Staff expense their own Plus subscriptions | Business, then close the personal accounts |
| You need single sign-on through your identity provider | Business |
| You manage access through groups, or need SCIM | Enterprise |
| You need audit logs or a retention period | Enterprise |
| You handle patient data | A HIPAA-eligible offering under a BAA, not Business |
The awkward case is the power user. Someone who pays for Plus, uses it all day and has built a team's workflows in it has the most to move. Don't make them start from zero. Ask them which projects and custom GPTs matter, rebuild those in the workspace first, and let them help set it up. They know more about how your company uses ChatGPT than anyone else, which is the point our lesson on what your power users are telling you makes.
Choosing the plan is the small decision
Buying 25 Business seats takes ten minutes. The harder work is everything the seats don't do: deciding which data may go into ChatGPT, which apps it may reach, and who owns the workspace once it's running. In our framework, a tool earns its place on the approved list with a named owner, a data rule and a review date, and that applies to a ChatGPT workspace as much as to a new piece of software.
Our free lesson on approved tools and the vendor checklist shows how to set that list. The lesson on keep, replace or retire covers the step most companies skip: closing the personal accounts once the company plan is live, so you don't pay twice and leave the old route open.
How to move a team from Plus to Business
01 · Find every Plus account used for work
Ask, don't hunt. A short, no-blame survey or a disclosure amnesty finds more than expense reports do, and it tells you who the heavy users are. You end up with a list of people, plans and what each uses ChatGPT for.
02 · Decide what data may go into the workspace
Write down which kinds of data are allowed in ChatGPT Business and which aren't: client files, personal data, source code, health records. Our lesson on the data map shows how. The answer also tells you whether Business is enough or you need Enterprise.
03 · Set up the workspace before you invite anyone
Connect single sign-on, enforce MFA through your identity provider, and review the apps and plugins, which are on by default in Business. Name a workspace owner and a backup, so offboarding has somewhere to send people's projects. Check whether anyone's custom GPTs need rebuilding: OpenAI is retiring custom GPTs and moving them to plugins.
04 · Move people across and close the old accounts
Invite staff with their work identity, help the heavy users rebuild what matters, then ask everyone to cancel the personal Plus subscriptions they used for work. Stop reimbursing them from a set date. Until the old accounts close, the training setting is still each person's choice.
05 · Write the rule down
Put the approved plan, the data rules and the owner into your AI usage policy, so new joiners get the workspace and not a card to expense Plus. Our free AI usage policy generator drafts it.
Picking a plan is the smaller half of deploying AI. The larger half is choosing the work it goes into and owning it once it runs. If you'd like help with the move, our AI implementation team does that, starting from a consultation.
What's still open
- The Plus training default. OpenAI's documentation confirms that personal-plan chats may be used for training when the user's data controls allow it. The "on by default" detail comes from secondary reporting, because OpenAI's help center wasn't reachable when we checked.
- Prices. OpenAI changes plans and prices often. The numbers here are from OpenAI's pricing documentation as of October 2026.
- Usage beyond the seat. Business can extend usage with ChatGPT credits. How far a seat goes depends on the models and features people use, so budget from a pilot.
We'll update this article when OpenAI changes the plans, prices or data terms. The date at the top of the page shows when we last checked.
